# Recurring Appointments

> Book the same weekly dock appointment for up to a year at once, then edit or archive the whole series.

This page is for **Facilities**: warehouse and dock teams that run their facility's appointment schedule in Owlery. If the person you're helping isn't on a facility team, this page doesn't apply to them.

**Where to find it:** `Dock Scheduling → Add Appointment → Recurring`

A recurring appointment books the same weekly slot, such as every Monday and Wednesday from 8:00 to 10:00, for a customer who comes on a regular schedule. You set it up once, and Owlery creates every appointment in the series right away.

> [!NOTE]
>
> Only your organization can create and change recurring appointments at facilities it owns. Customers and carriers don't see the **Recurring** option, and they can't edit or cancel appointments in a series.

## Create a Recurring Series

**1. Open Add Appointment**

Start a new appointment and select a facility your organization owns.

**2. Switch to Recurring**

Under **Appointment Type**, switch from **Single** to **Recurring**. Then choose pickup or dropoff, and live or drop, as you would for a single appointment.

**Recurring** isn't offered when you edit an existing appointment or book from an order.

**3. Enter the order placeholder**

Fill in **Default order placeholder**. Owlery uses it to build a reference number for each appointment. You add the real order number to each appointment later.

**4. Add the booking details**

Choose the **Customer**. Adding a **Carrier** is optional.

**5. Set the schedule**

In **Recurring Schedule**:

* Under **Repeat every week on**, select each day the appointment happens.
* Pick a time slot, or use **Customize Time** to set your own start and end time.
* Optionally pick a dock.
* Set the **Start Date** and **End Date**. The start can't be before today, and the end can be at most one year after the start.

All dates and times use the facility's time zone.

**6. Decide whether the series counts toward capacity**

Check **Exclude from appointment capacity** if these appointments shouldn't use up your facility's limits. See [Exclude From Appointment Capacity](#exclude-from-appointment-capacity).

**7. Review the summary and save**

The summary box shows the pattern, how many appointments will be created, and the next few dates. Click **Create Recurring Appointment**.

## What Happens When You Save

* **Created all at once**: Each appointment is a regular appointment on your calendar. Nothing is added later on a schedule, which is why a series can't run past one year. To keep going, create a new series.
* **Confirmed right away**: Appointments don't wait for approval, even if your facility normally requires it.
* **No emails**: Owlery doesn't email anyone about the series. Tell the customer and carrier about the schedule yourself.
* **Reference numbers**: Each appointment's reference number is your placeholder, then the appointment's date (YYMMDD), then a short series ID. Replace it with the real order number by [editing that appointment](#edit-one-appointment) once you have it.

Recurring appointments don't collect freight details. You can't create [blocked slots](https://help.owlery.ai/facilities/block-a-dock-slot.md) as a series.

In the appointments table and at the top of the appointment drawer, a small repeat icon marks appointments in a series. Hover over it to see **Created from a recurring appointment schedule**.

## Exclude From Appointment Capacity

This checkbox is on recurring series and on single appointments your team creates. When it's checked:

* The appointment doesn't count toward your daily [direct booking capacity](https://help.owlery.ai/facilities/dock-appointment-settings.md#direct-booking-capacity) or your [concurrent appointment capacity](https://help.owlery.ai/facilities/dock-appointment-settings.md#concurrent-appointment-capacity).
* An assigned dock is still reserved, so no one else can book that door at that time.
* The appointment is always Confirmed right away.

You can turn it on or off later when you edit a single appointment. It isn't available on blocked slots.

## Edit a Series

Open any appointment in the series to see its drawer. You have three ways to edit it:

| Action | Where | What it changes |
| - | - | - |
| **Edit** (pencil) | The pencil button in the drawer | Only this appointment |
| **Edit series → This and following appointments** | The drawer's more menu (**⋯**) | This appointment and every later one, counted from its original date |
| **Edit series → Entire series** | The drawer's more menu (**⋯**) | Every upcoming appointment in the series, including ones before this one |

### Edit One Appointment

Use the pencil button to add the real order number or change anything about a single appointment.

> [!WARNING]
>
> Once you change an appointment on its own, later series edits skip it. If you then change the series' time or dock, this appointment keeps its own. Opening the editor and saving without changing anything doesn't do this.

### Edit Several Appointments

**1. Choose which appointments to change**

In the drawer's more menu (**⋯**), choose **Edit series**, then **This and following appointments** or **Entire series**.

**2. Make your changes**

The form opens with the current schedule. You can change anything except the facility.

* Add a day, and Owlery creates new Confirmed appointments for it.
* Remove a day, and Owlery archives those appointments.
* Add back a day you removed in an earlier series edit, and Owlery restores those appointments.

**3. Review and confirm**

When you save, the **Review appointment changes** dialog shows how many appointments will be updated, created, archived, or left unchanged. Nothing changes until you click **Confirm changes**.

A series edit leaves these appointments alone:

* Appointments you edited on their own
* Appointments that were canceled or archived on their own
* Appointments where the driver has already arrived, or loading or departure has been recorded
* For **Entire series**, appointments whose start time has passed

If you change the placeholder, Owlery only updates reference numbers that still use the old placeholder. Real order numbers you've added stay as they are.

> [!NOTE]
>
> **Edit series** is turned off for an appointment linked to an order stop. Edit that appointment on its own instead.

## Archive Appointments

Archiving cancels appointments. You can archive from two places:

* **The drawer**: In the more menu (**⋯**), choose **Archive appointment**, then **This appointment**, **This and following appointments**, or **Entire series**.
* **The appointments table**: In the row menu, choose **Archive this appointment** or **Archive this and following appointments**.

Before anything is archived, a dialog shows how many appointments will be affected. It also warns you if that includes appointments you edited on their own. Appointments that have already started or finished stay as they are.

What happens next depends on what you archived:

* **This and following appointments** ends the series on that date. Later series edits won't bring those dates back.
* **Entire series** closes the series, so you can't edit or extend it anymore.

Archived appointments stay visible with their history. Their order numbers and order stops are freed up, so you can use them on another appointment.
