# Get Documents from Your Warehouse

> Have your 3PL or warehouse send BOLs and PODs to Owlery over SFTP so they attach to your orders automatically.

This page is for **Shippers**: teams that quote, tender, and pay for freight in Owlery. If the person you're helping isn't a shipper, this page doesn't apply to them.

If a 3PL or outside warehouse ships your orders, it can send you a copy of each BOL and POD by dropping the PDF on Owlery's SFTP server, and Owlery attaches it to the matching order.

## Who Does What

| | Owlery | Your team | Your warehouse |
| - | - | - | - |
| **Setup** | Creates the warehouse's SFTP login and folders | Asks Owlery Support to set it up | — |
| **Sending documents** | — | — | Uploads each PDF, named after the order number |
| **Attaching documents** | Matches each file to its order and saves it | — | — |
| **Finding documents** | — | Opens them on the order, the load, or the Document Library | — |

Your warehouse needs only an SFTP login. It doesn't need an Owlery account, an EDI translator, or an API integration.

## Set It Up

**1. Ask Owlery Support**

Email [support@owlery.ai](mailto:support@owlery.ai) with the warehouse's name and a contact there. Owlery creates the warehouse's SFTP login.

**2. Send Your Warehouse the Instructions**

Owlery shares the login securely. Forward it to your warehouse along with the [instructions below](#instructions-for-your-warehouse), or have Owlery work with the warehouse's contact directly.

**3. Check the First Documents**

Once the warehouse starts uploading, open one of the orders and confirm the document is there. See [Where Documents Appear](#where-documents-appear).

## Instructions for Your Warehouse

You can send this section to your warehouse as-is.

**1. Log In to Owlery's SFTP Server**

Connect to `sftp.owlery.ai` with the login Owlery sent you. You'll see an `orderDocuments` folder.

**2. Name the File After the Order Number**

Name each PDF after the exact order number, for example `SO-10482.pdf`. Don't add a label or timestamp: `SO-10482_BOL.pdf` looks for an order named `SO-10482_BOL`.

**3. Put It in the Folder for Its Document Type**

Upload the file to the folder that matches the document:

| Document | Folder | Example |
| - | - | - |
| Bill of lading | `orderDocuments/bol` | `orderDocuments/bol/SO-10482.pdf` |
| Proof of delivery | `orderDocuments/pod` | `orderDocuments/pod/SO-10482.pdf` |

Only PDFs are accepted, up to 100 MiB each. Folder names and the `.pdf` extension aren't case-sensitive.

> [!WARNING]
>
> Files left in the `orderDocuments` folder itself, or in any folder other than `bol` or `pod`, aren't attached to an order.

## Where Documents Appear

Each document your warehouse sends shows up in three places:

* **The order**: on the order's **Documents** tab. See [Orders](/shippers/orders.md).
* **The load**: on the **Documents** tab of the load the order ships on, next to the documents your carrier sends. See [Load Documents & PODs](/shippers/load-documents.md).
* **The Document Library**: searchable with every other document. See [Search every load at once](/shippers/load-documents.md#search-every-load-at-once-the-document-library).

## If a Document Doesn't Show Up

* **Check the filename**: it must match the order number in Owlery exactly, with nothing added.
* **Check the folder**: it must be in `orderDocuments/bol` or `orderDocuments/pod`.
* **Check the file type**: it must be a PDF.

If all three are right and the document still isn't on the order, email [support@owlery.ai](mailto:support@owlery.ai) with the filename and order number.

## Other Document Types

BOLs and PODs are supported today. If your warehouse sends other documents you'd like attached to your orders, email [support@owlery.ai](mailto:support@owlery.ai).
