Owlery emails the people involved in an appointment when it’s booked, changed, or commented on. This page lists each email and who gets it.

Emails Owlery Sends Automatically

The booker is whoever booked the appointment. Appointment update recipients are any extra email addresses added under Booking Details when the appointment was booked or edited. If a carrier booked it in Owlery, the carrier gets these emails. If your team booked it on the carrier’s behalf, the carrier gets them only if you added their email as an appointment update recipient. See Who Hears About a Change. Your facility contacts come from the facility profile. To choose which statuses email them, see Email Notifications.

Use a Shared Mailbox

You can set a Shared mailbox on your facility profile. When it’s set, the Status update, Details updated, and Converted to blocked slot emails go to the shared mailbox instead of your individual facility contacts. The booker, appointment update recipients, and the person who made the change still get them. The Dock assignment email still goes to your facility contacts. A shared mailbox, such as docks@yourcompany.com, keeps the whole team informed without filling everyone’s inbox.

Send an Email Yourself

To email someone about an appointment, open the appointment and use Compose email. The recipients start out as your facility contacts. Add or remove anyone before you send.
Owlery sends appointment emails from appointments@owlery.ai and no-reply@owlery.ai. Add both to your safe senders list so they don’t land in spam.
