Owlery can turn one NetSuite purchase order (PO) into several Owlery orders, one for each shipment. This is common for raw materials: a standing PO may be delivered over several months, or a supplier may ship parts of the PO on different trucks.
Your team adds a few fields in NetSuite and fills in quantities. Owlery handles the rest: creating the orders, keeping them in sync, and cleaning up when plans change.

What You’ll See in Owlery

Each shipment shows up on the Orders page as its own order, named after the original PO with a number added. For example, PO1811 becomes PO1811-1, PO1811-2, and so on. Say PO1811 has three lines, with quantities entered for two shipments: Owlery creates two orders:
  • PO1811-1: 200 Resin and 50 Pigment
  • PO1811-2: 200 Resin
Each order includes only the lines with a quantity for that shipment, at that quantity. Packaging film has no shipment quantities, so it’s left out of both orders. Every order from a split uses the PO’s pickup and delivery locations. Orders from one PO can’t have different locations. Each order also starts with the PO’s dates. You can change an order’s dates in Owlery. If the PO changes in NetSuite later, Owlery refreshes its orders from the PO, dates included. Make date changes in Owlery once the PO is final. If no line on a PO has a shipment quantity, the PO comes in as a single order, as usual.

Set It Up in NetSuite

1

Add a shipment field for each shipment

Add one custom line-level field (column) to your purchase orders for each shipment you might need. All the fields must share the same name and end with a number, for example custcol_shipment1, custcol_shipment2, and custcol_shipment3.
2

Tell Owlery the field name

Send Owlery the shared start of the field names, for example custcol_shipment. We turn on PO splitting for your account.
3

Enter quantities on each PO

On each PO line, enter how much of that item goes on each shipment. Leave the field blank or at 0 for shipments that don’t include that item.

Making Changes Later

You keep working in NetSuite. Owlery picks up changes on the next sync:
  • Change a shipment quantity: The matching Owlery order updates.
  • Add a shipment: Fill in a new shipment field (for example, a third shipment) and Owlery creates a new order, PO1811-3.
  • Remove a shipment: Clear that shipment’s quantities, and Owlery removes its order.
  • Clear all shipment quantities: Owlery removes the split orders, and the PO goes back to being a single order.
Before you remove a shipment that’s already tendered or on a load, cancel the load in Owlery first, or cancel the tender if the carrier hasn’t accepted it yet. The same goes for clearing all shipment quantities on a PO.
