Where to find it: Dashboard → Finance → Invoices When a freight invoice is approved in Owlery, Owlery sends it to Ramp as a bill. Your AP team approves and pays the bill in Ramp.

What Each Bill Contains

  • Vendor: from the carrier’s vendor mapping
  • Entity: from the invoice organization’s entity mapping
  • GL account and class: from the GL code on the load’s tags. Owlery picks one GL account and one class per invoice and applies them to every line.
  • Invoice number, amount, and currency
  • Invoice date and due date
  • Memo: the load numbers and a link back to the invoice in Owlery
Set up the mappings on the Ramp card’s Settings. See Configuration Reference.
If a carrier has no vendor mapping, Owlery doesn’t send the bill. The invoice shows the error “No Ramp vendor is mapped for this broker.” Add the mapping, then send the invoice again.

Bill Types

Choose the bill type with Invoice export mode on the Ramp card’s Routing & Mappings tab. With QuickBooks behind Ramp, both bill types are matched to the freight purchase order Owlery created in QuickBooks. That PO must already have synced from QuickBooks into Ramp.
With QuickBooks, if Ramp has no matching freight PO, the bill isn’t sent and nothing is written to Ramp. Make sure freight PO write-back to QuickBooks is set up first.

When Bills Are Sent

  • By hand: on the Approved tab of the Invoices page, select the invoices and click Send to accounting. If you have more than one accounting connection, each has its own button, labeled Send to and the connection name.
  • Automatically: Owlery sends each invoice as soon as it’s approved, manually or by your auto-decision rules. Owlery turns this on for you.
Sending the same invoice again doesn’t create a duplicate bill in Ramp. If a bill’s amount isn’t what you expected, see Troubleshoot Unexpected Bills. When Ramp marks a bill paid, the Owlery invoice updates to Paid. You don’t need to reconcile anything by hand. If you use NetSuite behind Ramp, Ramp’s own NetSuite sync creates the Vendor Bill and Bill Payment. See How Ramp + NetSuite Payments Work.
